This policy explains what personal data Kalyani Kalakriti Foundation collects through kalyanikalakriti.in and The Raconteur, why, who else handles it, how long we keep it, and what you can ask us to do with it. We have written it to be read, not skimmed past.
Who we are
Kalyani Kalakriti Foundation, a non-profit company licensed under Section 8 of the Companies Act, 2013 (CIN U90009HR2024NPL123887). Registered office: 557, First Floor, HUDA Plots, Sector 56, Gurugram, Haryana 122011. We publish The Raconteur. Under the Digital Personal Data Protection Act, 2023 we are the Data Fiduciary for the personal data described here.

What we collect, and why
When you register to read
Your name, email address, what describes you (student, faculty, artist, art lover, gallery or institution), your college or organisation if you give it, and whether you want the Studio Letter. We use it to open the magazine and the archive for you, to remember you when you come back, and — only if you ticked the box — to send the Studio Letter. We also note which issues you open, so we know what is being read.
When you subscribe to the Studio Letter
Your email address, used only to send the letter. Every letter has a one-click unsubscribe.
When you apply to be featured
Your name, email, phone or WhatsApp number, date of birth, city and state, what and where you study, your Instagram or portfolio link, who referred you, photographs of your work, your artist statement, any process images, and your answers about AI tools and recognisable people in the work. Gender is optional and used only to check that we represent artists fairly.
We use this to consider your work, to contact you, and — only after you sign a consent form — to publish. The selection panel sees your work without your name, college or city. Your date of birth is used to tell whether a parent or guardian needs to sign with you.
If you are selected
What you tell us in the interview and the detail form, the photographs and video you send, and your signed consent. We use it to write and illustrate your feature. You see every quotation and fact about you before it is published. We use an AI writing tool to help prepare drafts from your own words; a person at the Foundation edits every draft, and nothing about your life goes out that you did not tell us.
When you join the panel, apply as a campus journalist or volunteer
Your contact details and what you tell us about your practice, institution, skills and availability. We use it to decide, to work with you, and — for panellists who agree — to publish your name, image and profile.
When you write to us, or express interest in a work
What you put in the form or message: usually your name, email, phone and the message itself. We use it to answer you and, for the Catalogue, to put a buyer and an artist in touch.
When you give
Donations are made directly by UPI or bank transfer; this site does not collect payment details. If you email us your name, address, PAN and transaction reference, we use them to send your receipt and to report your donation to the Income Tax Department, as the law requires for your section 80G certificate, and we keep them in our accounts.
When paid plans begin
The Raconteur is free to read through December 2026. If we later offer paid plans, payments will be processed by Razorpay. We will never see or store your card or bank details.
When you visit the site
We count visits ourselves, without cookies. For each page view we record the page, the site that sent you (if any), and whether you are on a phone or a computer. To tell visitors apart within one day we use a code made from your network address and browser that changes every day and cannot be turned back into either. We do not use Google Analytics.
We use the Meta Pixel to understand which of our Facebook and Instagram posts bring people to the site and lead them to register to read or apply to be featured. It uses cookies, and we don’t share names, emails or phone numbers with Meta through it.
Our hosting provider keeps standard server and security logs. If you register, a sign-in cookie keeps you signed in. Your browser also remembers, on your device only, that you closed the welcome card (for 30 days) and which link brought you here (until you close the tab).
Who else handles your data
We do not sell personal data. These services process it on our behalf, only for the purposes above:
- Hostinger — hosts the website and its database, and sends the site’s email.
- Google Workspace — our email and documents.
- Heyzine — shows each issue as a flipbook. When you open an issue, Heyzine receives the technical details any website receives.
- Anthropic — the AI writing tool used to help draft features from what selected artists told us. Data sent through its commercial service is not used to train its models.
- Meta — the Meta Pixel described above, which tells us which Facebook and Instagram posts bring people to the site.
- YouTube — hosts our videos. If you play one, Google’s own privacy policy applies.
- WhatsApp — if you message us there, WhatsApp’s own terms apply.
- Razorpay — only once paid plans begin.
Within the Foundation, people see only what their role needs: the panel sees work without names; the editorial team sees what it needs to write; finance sees donation records. We disclose data to authorities only when the law requires it.
Some of these providers store or process data outside India, as Indian law currently permits.
Children
Artists under eighteen may apply. Before we publish anything about someone under eighteen, a parent or guardian signs the consent with them. We do not track children’s behaviour, profile them, or show them advertising.
How long we keep it
- Reader registrations: until you ask us to close your registration. If an account is unused for three years, we write to you and then delete it.
- Applications that are not selected: up to two years, so the panel can consider your work for a later issue. Ask us and we delete it sooner.
- Published artists and panellists: signed consent and the material behind a published feature, for as long as the feature is published and for the period the law requires after that.
- Enquiries and messages: up to two years after the conversation ends.
- Donation and accounting records, including what we report for 80G: eight years, as company and tax law require.
- Visitor counts: about thirteen months, then deleted automatically.
- Security logs: at least one year, as the law requires.
Your rights
You can ask us for a summary of the personal data we hold about you and who we have shared it with; ask us to correct, complete or update it; ask us to erase it; withdraw consent you gave us — as easily as you gave it; and nominate someone to exercise these rights for you if you die or cannot. Write to kkfo@kalyanikalakriti.in with “Personal data” in the subject. We acknowledge within two working days and answer within thirty days.
Withdrawing consent stops future use. It cannot unprint an issue already published, and we tell artists this before they sign.
Keeping it safe
Access to the site’s data is limited to named team members, protected by passwords and served over an encrypted connection. If a breach affects your data, we will tell you and the Data Protection Board of India as the law requires.
Complaints
Write to our Grievance Officer first: Prakhar, kkfo@kalyanikalakriti.in. If you are not satisfied with our answer, you may complain to the Data Protection Board of India.
Changes
When we change this policy we update the date at the top. If a change affects how we use data you have already given us, we tell you before it takes effect.
